From enquiry to recap: keep operational facts and agreed terms separate

A strong chartering workflow keeps the requirement, the candidate vessel, the correspondence and the agreed terms connected. It also makes clear which statements are still under discussion and which have been accepted by the parties.

Make the record readable

Our practical sequence starts with an accurate cargo or vessel brief, followed by suitability checks, a reviewed proposal and the commercial exchange. Preserve the source of each material change. An automated shortlist should support the broker's decision rather than imply that an unapproved pairing is an agreed fixture.

Use defined terms carefully

BIMCO's laytime definitions are intended to help practitioners use commonly encountered terms consistently when incorporated into their agreement. The operating lesson is to preserve the actual contractual wording and seek clarification when it is ambiguous. A short summary must not silently replace the recap, agreed clauses or the parties' approval.
